Travel Assistance + Medical Resources

INTRODUCTION

If you are travelling on WBD business to another country, there are several services and plans in place to support you and ensure your safety and wellbeing during your trip.

  • Support whilst you’re travelling through Crisis24 Horizon app. This is your go-to resource whilst you are travelling.  The app provides the following 24/7:
    • Security Alerts - for your location
    • Medical Assistance – contact information for International SOS
    • Security Assistance – send security notifications and chat
    • Security Check In - let WBD Security know where you are
  • Helping you prepare for your trip with International SOS. They provide travel and planning assistance services for both medical and security, including information on visas, vaccination requirements and security tips. They also help organise medical assistance and treatment whilst you are travelling (accessible via the Crisis24 Horizon app).
  • Business Travel Accident and Medical insurance through Chubb. This insurance is for emergent, non-routine issues whilst travelling for business. It is therefore important to take care of any routine doctor visits before leaving for your trip as this insurance will not cover them.
ELIGIBILITY

The following are eligible for Business Travel Insurance when travelling outside your home country on WBD business. There are differences in insurance cover options depending on which country you are based in (see ‘What’s covered’ section for more details).

BEFORE YOU TRAVEL

This section covers the key steps to ensure you have easy access to support during your business trip. You will receive a pre-travel notification email which will outline any additional specific requirements for your trip.

ESSENTIAL ACTIONS TO TAKE:

Complete these steps before you travel.

  1. Download the Crisis24 Horizon app for iPhone & Android. Log in with your WBD username and password. Here you can access insurer details, receive security alerts, and find local emergency contacts – this is your travel support hub.
  2. Save key contacts. Save these telephone numbers in case you are unable to access the Crisis24 Horizon app. (International SOS: +1-215-942-8226 and Crisis24 Horizon: +1-443-214-7044).
  3. Prepare travel documents. Download your Travel Insurance Certificate and check if a medical declaration is needed for your visa.

US-based employees: please click here for your travel certificate.

India-based employees: To obtain an insurance certificate for a visa application or for any other reason, please send an email request to gayatri.sasane@icicilombard.com and copy ramesh.mudaliar@icilombard.com.

  4. Pack your medications. Business travel medical insurance covers unexpected illness or injury only, ongoing treatment needs should be planned for before you travel.
  5. Review company policies. Familiarize yourself with the company Travel & Expense policy which covers security measures, vaccinations, and visa requirements.
  6. Review country specific requirements: If you are travelling from Poland or France, there are additional business travel insurances available to align with local legislation.

ADVISED ACTIONS TO TAKE

The following are advised to help ensure a smooth trip.

  1. Check the Travel Safety Tips from the Global Security Team.
  2. Review the business travel insurance policy so you are clear on what is covered.
  3. Read through how to claim if you need assistance whilst travelling.
  4. Download the International SOS (ISOS) app and complete the Digital Learning prior to departure if you are travelling to a country for the first time.
HOW TO CLAIM

If medical assistance is needed, contact International SOS (via Crisis24 Horizon app) as soon as possible for assistance in getting appropriate medical services.  Please note, if you are experiencing a medical emergency, please seek immediate medical assistance and contact International SOS (via Crisis24 Horizon app) after you are stable.

For medical claims

Steps to take before medical treatment. Act immediately to see if a guarantee of payment can be arranged. This avoids you paying for treatment yourself and having to put a reimbursement claim in later. If you require urgent medical care, seek an ambulance and hospital treatment first and then follow these steps.

  1. Open Crisis24 Horizon App: Tap "Call Medical Assistance".
  2. Get referred for treatment: You’ll be directed to International SOS who will organize this for you.
  3. Receive confirmation of funding: For non-emergencies, contact International SOS to see if a guarantee of payment can be arranged. This avoids you paying for treatment yourself and having to put a reimbursement claim in later there may be occasions where you need to pay and claim reimbursement later (see below).

How to submit a reimbursement claim

If you did not call International SOS prior to treatment, or paid the bill directly, you will need to claim reimbursement directly with the insurer, Chubb. This is also the process for non-medical claims (subject to eligibility).

1. Visit the Chubb claims website

2. Select your home country (always select ‘United Kingdom’ unless you are travelling from the following countries: Brazil, Canada, China, India, Mexico, Poland, Switzerland, United States).

3. Enter claim details. You will need the following information:

  • Policy number as listed below:
All Countries (unless listed below) UKBBBC48874
Brazil 10.69.1159176.12
China 0625CB420725000084

United States ADD N10892624R
  • Proof of costs incurred and police reports (where applicable).
  • Employers name and address.
  • Employer email (P&C Partner’s email).

4. Receive confirmation. Chubb will assess your claim and notify you of the outcome and whether your claim is eligible. There is no guarantee that a claim will be paid, it must first be assessed by the Claims Team at Chubb.
